Challenges Faced
The M∙A∙C∙ Clinic leverages a cloud-based CRM system to manage appointments, payments, and inventory. The system generates various operational reports as standalone Excel/CSV files. Despite the robust digital infrastructure, the reporting process remained largely manual. The staff compiled and reformatted daily reports. This was time-consuming and increased the risk of human errors. This manual process also prevented users from real-time insights into performance metrics across outlets. The lack of real-time reporting made it difficult for management to monitor performance, identify trends and make timely decisions.
Proposed Solution
In collaboration with Mobius Group, a semi-automated data pipeline was developed using Microsoft Excel, Power Query and Power BI. The solution introduced a structured data storage system which was organised by outlet and report type. This standardised data ingestion and minimised manual work.
Power Query in Excel was utilised to create several master datasets which can be used for reporting. Power Query resolved inconsistent data types, missing values and formatting irregularities. The cleaned and modelled datasets power interactive dashboards in Power BI. The dashboards offer near real-time insights into revenue performance, staff contributions and customer behaviour.
Results
The implementation of the semi-automated reporting system improved the data accuracy with the ETL process embedded in the Power Query workflows. The Power BI dashboard now provides stakeholders with visibility into key metrics, empowering faster data-driven decisions. These efforts saved approximately 5 man-days each month, which potentially translates to a 5% increase in sales.
Why This Matters
The transition from manual to semi-automated reporting has eliminated the disadvantages of manual reporting. This also improved operational efficiency and allows for more effective decision-making. The dashboards also provide visibility into client demographics and behaviour which support more personalised marketing and service strategies.
